This policy relates to the Career Planning Service.

Overview

To deliver its service EGSA will ask you for personal details to help us provide a personalised and high quality service. This policy outlines the information we collect and how we use that information. EGSA takes the safeguarding of your personal details very seriously and will only use that information in accordance with the terms presented within this policy.

EGSA is registered under the United Kingdom Data Protection Act, 1988 and is committed to protecting your privacy and will not share any personal information with any other organisation.

Information we collect

The personal information we collect is necessary to deliver a tailored service based on your own personal circumstances. These details will help EGSA identify appropriate and relevant options for you.

The information we collect consists of contact details, equality information and the nature of the service we delivered to you. It is stored on EGSA’s computer systems to provide an efficient means of providing ongoing support and to help monitor and improve the quality of our services. We do not store all information communicated to EGSA, specifically:

Financial details such as credit/debit cards details that may be communicated during payment for a service are never stored by EGSA in any form of media, including on computer or paper.

How we use the information

The information we hold is stored on computer systems located in our premises. This information is used to:

  • support future client contact
  • evidence our work to relevant funding bodies who sometimes make this a requirement
  • monitor and improve service delivery
  • identify trends and gaps in client needs and service delivery

Information used for analysis is always anonymised and aggregated before being used for internal and external reporting; an example of the latter being EGSA’s Annual Report.

We will not use personal identifiable information in publicity without the express permission of the person or persons involved.

Is the information shared?

EGSA will not sell or rent any personally identifiable information to third parties. Information provided during this paid for service will not be shared with anyone. For clients who avail of our other services which are delivered free it is sometimes a funder requirement that information is shared with them to evidence the work they pay for. In such circumstances, only the minimum information required will be shared for that specific purpose and no other. Other than this no personal data is shared with third parties.

Information Security

EGSA is committed to protecting its client information. We use computer safeguards such as firewalls, anti-malware and encryption as well as physical access controls to our premises and files. Access to personal information is limited to those staff who need such to perform their job role.

Accessing the Information

The information we hold about you can be reviewed and edited upon your request and confirmation of identity. We will endeavour to make this information available within 10 days of any such request.
